IN-HOUSE VS EXTERNAL PRODUCTION GUIDELINES

PURPOSE

This document clarifies the distinction between in-house production and external production.
Its purpose is to allow local initiative while protecting shared names, materials, and reputation.

IN-HOUSE PRODUCTION

In-house production refers to work performed directly by lodge participants using:
- personal equipment
- volunteer labor
- locally owned tools
- non-commercial methods

In-house production may include:
- small print runs
- local signage
- handouts
- study materials
- internal documents

In-house production does not require prior approval.

EXTERNAL PRODUCTION

External production refers to work performed by:
- paid vendors
- commercial printers
- manufacturers
- fulfillment services
- publishing platforms

External production introduces additional risk and requires oversight.

WHEN EXTERNAL PRODUCTION REQUIRES APPROVAL

Approval or coordination is required when external production:
- uses shared names or branding
- involves large quantities
- is distributed publicly
- is sold or monetized
- represents the lodge or organization externally

THRESHOLDS AND JUDGMENT

No fixed numerical thresholds are imposed.

Lodges should use judgment and seek guidance when:
- cost is significant
- distribution is wide
- permanence is high
- reputation risk exists

When in doubt, coordination is recommended.

QUALITY AND CONSISTENCY

External production should:
- meet basic quality standards
- avoid misleading claims
- reflect documented scope and purpose

Approval exists to prevent costly or reputational mistakes.

PRIVILEGE SUSPENSION

Repeated disregard of these guidelines may result in:
- temporary suspension of external production privileges
- requirement to route future production through coordination

Privileges may be restored upon compliance.
