Purpose

This guide provides a simple framework for coordinating short-term, time-limited mutual aid or volunteer events such as cleanups, aid distributions, work days, or community actions.

These events are intended to be finite, low-pressure, and optional.

- Voluntary
- Clearly bounded in scope
- Not ongoing obligations

- Temporary aid distributions

- Coordinated assistance days

Before the Event

Communities should clarify:

- Purpose of the event
- Date and time window
- Location (general, not private unless appropriate)
- Type of help needed
- Safety considerations
- Clear start and end point

During the Event

During the event:

- Participation remains voluntary
- Individuals choose their level of involvement
- Breaks are encouraged
- Safety takes priority over completion
- Coordination is informational, not directive

No one is required to stay for the full duration.

Roles (Optional)

Optional roles may include:

- Event point-of-contact
- Safety observer
- Supply or logistics helper

Roles are temporary and carry no authority.

After the Event

After the event:

- Thank participants without ranking contributions
- Close or archive related coordination boards
- Share outcomes briefly if helpful
- Allow the effort to end cleanly

Avoid creating expectations of future participation.

If Issues Arise

If conflict, confusion, or risk appears:

- Pause the activity if needed
- Reduce scope
- Allow participants to disengage
- Close the event early if necessary

Ending early is acceptable.
